1. Who we are

Vetrn is a deal intelligence platform built for venture capital funds operating at Seed to Series B. Vetrn is developed and operated by CodeCrew (“we”, “us”, “our”). When your fund uses Vetrn, we act as a data processor on your behalf.

2. What data we collect

Account data

When you register, we collect your name, email address, organisation name, and role. This data is used to provision your account and manage access within your fund.

Deal data

When you upload a pitch deck or other deal materials, we process their contents to generate analysis through our Vedi and Vetra engines. Deal data includes:

• Pitch decks and supporting documents you upload
• Analysis outputs generated by our agentic engines
• Meeting transcripts processed through the Meeting Copilot
• Notes, chat messages, and annotations you create within Vetrn
• Your fund’s investment thesis configuration

Usage data

We collect standard usage telemetry — pages visited, features used, and session duration — to improve the product. We do not track individual keystrokes or record screen activity.

3. How we use your data

• To provide the service — processing deal materials, generating AI analysis, and powering the deal memory layer
• To improve Vetrn — aggregated, anonymised usage patterns help us understand which features matter and where to invest
• To communicate with you— account-related notifications, security alerts, and product updates you’ve opted into

We do not sell your data to third parties. We do not use your deal data to train general-purpose AI models. Your deal intelligence belongs to your fund.

4. Data storage and security

All data is encrypted in transit (TLS 1.2+) and at rest (AES-256). Deal data is logically isolated per organisation — one fund cannot access another fund’s data. We conduct regular security reviews and follow industry-standard access control practices.

5. Third-party services

Vetrn uses third-party infrastructure and AI model providers to deliver the service. These providers process data under strict contractual obligations and do not retain your data beyond what is needed to fulfil the request. We select providers who offer enterprise data handling agreements and zero-retention policies where available.

6. Data retention

Deal data and analysis outputs are retained for as long as your account is active. When you delete a deal from Vetrn, its associated data is permanently removed within 30 days. If you close your account, all associated data is deleted within 60 days unless a longer retention period is required by law.

7. Your rights

You have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Export your deal data in a portable format
• Withdraw consent for optional data processing at any time

8. Cookies

Vetrn uses essential cookies to maintain your session and authentication state. We do not use third-party advertising or tracking cookies. Analytics cookies, where used, are first-party and anonymised.

9. Changes to this policy

We may update this policy from time to time. Material changes will be communicated via email or an in-product notification. Continued use of Vetrn after changes take effect constitutes acceptance of the updated policy.
